The Communication Philosophy
The goal of communication in this arrangement is specific: you should never have to wonder what is happening with your property.
Not because we send you constant updates that create noise without information. But because the information that matters — financial, physical, legal, statutory — reaches you at defined intervals in a format that is easy to read and act on. And when something requires your attention outside the monthly cycle, it reaches you immediately — not at the next scheduled report.
This requires two things that informal management arrangements almost never have:
A defined reporting structure — so you know what you will receive, when, and in what format. Not “we’ll keep you posted” — but a specific monthly report, by the 7th of each month, covering specific sections in a consistent format.
A defined escalation protocol — so you know that when something significant happens, you will hear about it on the day it happens — not in the following month’s report.
The monthly report tells you that everything is functioning as expected. The immediate escalation tells you when it is not. Together, they close the information gap.
What You Receive Without Asking — Every Month
By the 7th of each month, without any request from you, you receive the monthly property report. The contents are consistent every month — not variable based on what happened or what someone decided to include.
Financial summary:
- Rent received — amount, date, bank reference
- Society dues paid — amount, month, receipt reference
- Property tax paid — where applicable in that month
- Utility bills paid — itemised
- Maintenance expenditure — itemised with contractor and invoice reference
- Management fee deducted
- Net remitted to your NRO account — amount, date, bank reference
- Closing balance in management account
Tenancy status:
- Current licensee name and agreement status
- Rent payment behaviour — on time, delayed, or default
- Agreement validity and next renewal date
- Any communication with the tenant during the month
- Any breach or concern noted
Inspection record:
- Date of inspection conducted
- General condition assessment
- Specific observations — any issue noted
- Photographs — attached to the report
Society and statutory update:
- Society communications received and action taken
- AGM or committee meeting summary where applicable
- PMC/PCMC status — any notice received, any action taken
- Property tax account status
Pending matters:
- Items requiring your decision — clearly listed with deadline if applicable
- Items pending contractor, statutory, or tenant response
Next month preview:
- Rent due date

This report arrives every month regardless of whether there is anything unusual to report. A month where nothing unusual happened is reported as such — and that confirmation is itself information.
Communication Channels — How We Reach You
WhatsApp is the primary channel for routine communication — monthly report delivery, rent receipt confirmations, inspection updates, and routine questions.
WhatsApp works across every time zone without requiring simultaneous availability. A message sent at 11 PM IST is waiting for you when you wake up in Vancouver at 6 AM PST. A message sent at 9 AM EST is received in Pune at 7:30 PM IST and addressed before the business day ends.
WhatsApp also provides a running record of all communication — searchable, timestamped, and available to both parties. When a specific communication needs to be referenced later — “when did we discuss the tenant renewal?” — the WhatsApp history provides the answer.
What WhatsApp is used for:
- Monthly report delivery and acknowledgement
- Rent receipt confirmation — same day
- Inspection completion notification
- Routine queries and responses
- Quick status updates
What WhatsApp is not used for:
- Formal legal communications — these go by email
- Documents requiring a written record — these go by email with WhatsApp notification
Email is the channel for formal communications — monthly reports as attached documents, legal notices, agreement drafts, statutory correspondence, and any communication that requires a permanent written record.
Email is also more searchable and archivable than WhatsApp for document purposes. Your CA, your financial advisor, or your lawyer in your country of residence may need access to specific communications — email provides the retrievable record.
What email is used for:
- Monthly report — full document attached
- Legal notices — issued and received
- Agreement drafts for your review
- Society formal communications — copies
- PMC notices received — copies
- Any formal communication requiring a written record
Video Call
For matters that require discussion — a tenant dispute, a significant maintenance decision, a society issue with strategic implications, the approach to a tenant renewal negotiation, or an annual property review — a scheduled video call is available.
Video calls are scheduled at times that work across time zones. The scheduling process is straightforward — you suggest times that work for you, we confirm within 24 hours.
What video calls are used for:
- Quarterly property review — optional, available at your request
- Discussion of significant decisions — above the routine threshold
- Annual management review — recommended once per year
- Any matter where written communication is insufficient
Phone Call
Phone calls are used for urgent matters — not routine communication. A phone call outside business hours signals urgency. Within business hours, a phone call is used when a written exchange is inefficient for the matter at hand.
The management contact number is a direct number — not a call centre, not a secretary filter. When you call, you reach this office directly.
Time Zone Management — How It Actually Works
IST — India Standard Time — is UTC+5:30. The time difference between Pune and the locations where most NRI clients reside:

How communication works across difficult time zones
For US time zones — the most challenging:
The overlap between US business hours and IST business hours is minimal. This is addressed through asynchronous communication — WhatsApp and email — which does not require simultaneous availability.
A question sent from New York at 9 PM EST arrives in Pune at 7:30 AM IST the following morning — within our business day. A response sent from Pune at 10 AM IST arrives in New York at 12:30 AM EST — waiting when you wake up.
For matters requiring real-time discussion — a video call — early morning IST (7-8 AM IST) works for US east coast evening (8:30-9:30 PM EST). Late evening IST (9-10 PM IST) works for US west coast morning (7:30-8:30 AM PST). We accommodate these scheduling windows.
For UAE and Gulf — easy:
The 1.5 hour difference means near-complete overlap with business hours. Real-time communication is straightforward.
For UK — morning window:
Morning UK time falls within IST business hours. A call at 9 AM London time is 2:30 PM IST — well within the working day.
For Australia — afternoon window:
Australian afternoon falls within IST business hours. A call at 3 PM Sydney time is 9:30 AM IST — early in the Pune working day.
The practical approach
Time zone complexity is a real feature of this service — not something to minimise. The approach is:
- Routine communication by WhatsApp and email — no time zone problem
- Scheduled calls at agreed times — accommodated to your time zone
- Emergency contact — at any time, regardless of IST or your local time
No NRI client has ever missed a critical communication because of time zone difference under this arrangement. Time zones affect scheduling, not information flow.
Response Time Commitments
These are specific commitments — not aspirational targets.

What happens if a response commitment is missed:
You are informed proactively — before you follow up — with the reason and the revised timeline. A missed response commitment is not ignored or hoped that you will not notice. If you do follow up on an overdue response, the delay is acknowledged directly and explained.
Business days:
Monday to Saturday. Sunday is not a business day for routine communication — but emergency contact is available seven days.
The Decision Framework — What We Handle, What Needs You
One of the most practically important aspects of this arrangement is clarity about what requires your involvement and what does not. This framework is documented in the management PoA and communicated at the start of the arrangement.
We Handle Independently — You Are Informed in Monthly Report
These matters are within the defined management authority and are handled without prior approval. You are informed in the monthly report:
- Rent collection and remittance to NRO account
- Society dues payment — monthly
- Property tax payment — before due dates
- Utility bills — maintenance of active connections
- Periodic property inspections — scheduled cycle
- Routine society correspondence — acknowledgement and response
- Rent reminders to tenant — written, on defined schedule
- Minor maintenance below defined threshold — with invoice
We Inform You and Proceed — Same Day Notification
These matters are handled within management authority but are significant enough to warrant immediate notification — not held for the monthly report:
- Rent not received — notification on day 3, before formal notice
- Legal notice received from any party — same day
- Society complaint about the flat or tenant — same day
- PMC notice received — same day
- Emergency repair initiated — same day
- Any unexpected change in property condition observed at inspection — same day
We Present Options and Seek Your Instruction — Before Acting
These matters require your decision before action is taken:
- Tenant selection — final approval always yours
- Agreement renewal terms — rent amount, duration, conditions
- Maintenance above defined threshold — quote and recommendation presented
- Legal notice to tenant — Advocate’s formal notice — your instruction sought
- Response to society special levy — your instruction required
- Any action outside PoA scope — categorically requires your instruction
We Require Your Explicit Written Instruction — Always
These matters can never be handled without your specific written authorisation:
- Any sale, transfer, gift, or encumbrance of the property
- Any expenditure above the upper financial limit defined in PoA
- Initiation of legal proceedings — separate legal services engagement
- Any document that binds you beyond the management scope
What You Can Request Anytime
Outside the monthly report cycle, you can request the following at any time — fulfilled within 48 hours on business days:
Property information:
- Current photographs of the property — exterior and interior
- Video walkthrough — coordinated with tenant where rented, conducted independently for vacant properties
- Status update on any specific pending matter
- Confirmation of society dues status — current or any outstanding
- Confirmation of property tax status — current or any outstanding
- Confirmation of utility connection status
Financial information:
- Copy of any specific receipt or invoice
- Monthly statement for any specific month
- Management account balance
- Summary of expenditure for any period
Document access:
- Copy of the current Leave and License Agreement
- Copy of the most recent inspection report
- Copy of any society communication
- Copy of any PMC correspondence
Communication:
- Scheduled video call — for any matter requiring discussion
- Telephone call — for urgent matters
All of these requests are part of the management arrangement — not additional services charged separately. Access to information about your own property is not a premium feature. It is the baseline of what accountable management means.
Emergency Communication Protocol
What Constitutes an Emergency
An emergency is defined specifically — so that genuine emergencies receive immediate response and routine matters are not escalated unnecessarily:
Property security emergency:
- Break-in or forced entry — actual or attempted
- Unauthorised occupation detected
- Attempted fraudulent activity related to the property
Physical emergency:
- Fire — any fire at or affecting the property
- Flood — water damage affecting the property or adjacent units
- Structural damage — collapse, major crack, roof failure
- Gas leak or electrical fault creating a safety hazard
Legal emergency:
- Court order or injunction received
- Legal notice with immediate response deadline — 24 hours or less
- Possession dispute requiring immediate legal action
Medical emergency:
- Tenant medical emergency at the property requiring owner notification
What Happens in an Emergency
Immediate — within minutes of detection:
Containment action under PoA authority. Emergency services called where applicable. Emergency contractor engaged for immediate containment — burst pipe, broken lock, fire damage. No approval is sought for immediate containment — the damage from delay outweighs the cost.
Within 2 hours:
You are contacted by phone and WhatsApp simultaneously. If no response within 2 hours, your designated emergency contact in India — if provided — is contacted. If no emergency contact, attempts continue at 30-minute intervals.
Within 24 hours:
Full written report of the emergency, action taken, current status, and immediate next steps — by email and WhatsApp.
Within 48 hours:
If significant expenditure or legal action is required, options are presented with costs and our recommendation — for your decision.
Your Emergency Contact
At the start of the management arrangement, you are asked to provide:
- Your primary contact — phone and WhatsApp — for emergencies
- A secondary contact — in case the primary is unreachable
- An India-based emergency contact — a trusted person who can be reached if international contact fails
The emergency contact list is maintained throughout the management period and updated when you notify us of changes.
Staying Connected During Your India Visits
When you visit India — whether for a few days or several weeks — the management arrangement continues. You do not need to take over management during your visit. But your visit creates opportunities:
Property inspection:
A personal walkthrough during your visit — accompanied by this office — gives you direct visibility into the property’s condition. We conduct the inspection together, walking through each room with the inspection record. You see what we see.
Tenant meeting:
If you want to meet your tenant during your visit — to establish a personal connection or to discuss the upcoming renewal — this can be arranged. The meeting is structured — not an informal visit — and the management relationship between the tenant and this office continues unchanged after your departure.
Society engagement:
If an AGM or committee meeting falls during your visit, you can attend personally — representing yourself, with this office present as support. Or you can leave representation to this office as usual. The choice is yours.
Document review:
Your visit is a good time to physically review the title documents held in this office, sign any documents that are more efficiently executed in person, and discuss any strategic decisions about the property.
What your visit does not do:
It does not disrupt the management arrangement. The PoA remains in effect. The management structure continues. When you leave, the arrangement resumes exactly as it was — without any gap or reset.
When Communication Becomes More Intensive
Certain situations require more frequent and detailed communication than the normal monthly cycle provides. These are identified at the start and managed accordingly:
Active tenant dispute:
When a tenant has defaulted, been served notices, or is the subject of escalating action — communication is as frequent as the situation requires. Every notice, every response, every development is communicated the day it occurs. You are not updated monthly — you are updated daily if the situation is moving.
Tenant transition — end of one tenancy, start of another:
The vacation inspection, security deposit settlement, property preparation, tenant search, vetting, and new agreement — this is a period of intensive activity that requires your frequent input. Communication during this period is daily or every few days, not monthly.
Major maintenance or renovation:
Where significant work is underway — painting, plumbing replacement, renovation — progress updates are provided weekly or at each stage completion. Photographs at each stage. Expenditure tracked and reported as it occurs.
Legal matter in progress:
Where a society dispute, PMC matter, or other legal issue is active — communication is as frequent as the matter requires. You are not left wondering what is happening with a legal matter — you are informed at each step.
Approaching sale:
When the property is being prepared for sale — tenant vacation, document preparation, valuation, buyer search — the communication intensity increases to match the activity. The transition from management to sale requires close coordination.
Frequently Asked Questions
1. I am in California — IST is 13.5 hours ahead of PST. Is real communication actually practical?
Yes — and California-based clients are among the most common. The approach: routine communication by WhatsApp and email, which requires no simultaneous availability. For scheduled calls, early morning IST — 7 AM IST — is 5:30 PM PST the previous day. Late evening IST — 9-10 PM IST — is 7:30-8:30 AM PST. Both windows work for calls. In practice, most California-based clients find that a brief WhatsApp exchange handles most communication and a monthly or quarterly scheduled call handles the rest. Time zone has never prevented effective management of a California-based NRI’s Pune property.
2. What if I am travelling and change time zones frequently?
Update your current contact details when your schedule changes significantly. The WhatsApp and email channels work regardless of where you are. For scheduled calls, simply let us know your current time zone and we schedule accordingly. For emergencies, the same protocol applies regardless of where you are — phone and WhatsApp contact, with your India-based emergency contact as backup if you are unreachable.
3. Can my spouse or family member receive the monthly reports and communications as well?
Yes. With your written instruction, additional recipients — your spouse, your CA, your financial advisor — can be copied on monthly reports and significant communications. This does not change the management relationship — you remain the Principal under the PoA — but it allows others who are involved in your property decisions to be informed without relying on you to forward information.
4. What language are the reports and communications in?
English — as the primary language for written communication, particularly for legal and financial content. For verbal communication — WhatsApp voice notes, phone calls, video calls — Marathi, Hindi, or English as you prefer. Most NRI clients from Pune are comfortable with English for written communication and Marathi or Hindi for verbal discussions. We accommodate whatever combination works best for you.
5. I want to be informed immediately if anything changes — even small things. Is that possible?
The monthly report covers everything — including small changes. For genuinely small routine matters — a minor maintenance item completed, a routine society circular received — immediate notification would create noise rather than useful information. The monthly report is designed to be comprehensive enough that nothing significant is held. Where something requires immediate communication — rent default, legal notice, emergency — it comes immediately. The distinction between “immediate” and “monthly report” is based on whether the matter requires your action before the next report — not on whether it is interesting. If you have a specific preference for more frequent updates on a particular category, that can be discussed and accommodated.
6. What happens if I do not respond to a communication that requires my decision?
The matter is held — no action is taken that requires your approval without receiving it. A follow-up communication is sent after 48 hours if no response has been received. If the matter has a deadline — a statutory response period, a tenant negotiation window — the deadline and its consequences are explicitly communicated in the follow-up. If the deadline passes without your instruction, you are informed of the consequence and the matter is documented. No assumption is made about your decision from your silence.
7. Can I have a standing instruction for certain categories of decisions — so I do not need to be consulted each time?
Yes. Standing instructions — “always renew the agreement if the tenant’s payment history is clean and the rent increase is within 10%”, “always proceed with maintenance quotes below ₹15,000 without waiting for my approval” — can be documented at the start of the arrangement or added at any time. Standing instructions must be in writing and are documented in the management record. They replace case-by-case consultation for the specific category they cover. They can be modified or revoked at any time.
8. What if I want to give instructions that this office disagrees with?
Your instructions are followed within the scope of the management PoA and within the bounds of legality. Where this office disagrees with an instruction — believes it is not in your best interest, or that a better approach exists — the disagreement is stated clearly and the reasons explained. If you confirm the instruction after hearing the concern, it is followed. The only exception: instructions that require acting outside the PoA scope, outside the law, or contrary to professional obligations are not followed regardless of your instruction. In that case, the specific reason is stated clearly.
9. How long are communication records maintained?
All written communication — WhatsApp, email — is retained for the duration of the management arrangement and for two years after termination. Monthly reports and their attachments — photographs, receipts, statements — are retained for the same period. If you want a complete archive of all communication for a specific period — for tax purposes, for a legal matter, or any other reason — it is provided on request within 5 business days.
10. I have had bad experiences with property managers who went silent when problems arose. How is this different?
The structural answer: a registered PoA with a legally accountable Advocate creates professional and legal obligations that an informal property manager does not have. Going silent when a problem arises is not an option when professional conduct obligations apply. The practical answer: the communication structure described on this page exists precisely because we know that the most damaging aspect of informal management is not incompetence — it is the information gap. You do not find out what is happening until the problem has become serious. This structure closes that gap — not through promises, but through a defined monthly report, defined response times, and a defined escalation protocol that applies regardless of whether the news is good or bad.
